Travel Documents & Entry Requirements

What travel documents do I need?

All guests must travel with a valid passport, regardless of nationality. Your passport must be valid for at least six months after disembarkation. It is each guest’s responsibility to ensure they hold any required visas or travel documents for every country visited during the expedition.

From late 2026, the EU will introduce ETIAS, a new travel authorisation for visitors from visa‑exempt countries. ETIAS will not be mandatory until 2027, and no action is required at this time.

If your expedition takes place in 2027 or later, you may need to apply for ETIAS before travelling. However, please check the official ETIAS website for the latest information, as entry requirements can change at short notice and it is each guest’s responsibility to ensure they meet all current travel rules.

Do I need travel insurance?

Travel insurance is not mandatory, but comprehensive travel and health insurance is strongly recommended for all guests travelling on a Norway expedition.

Packing & What to Wear

What should I pack for my Arctic Norway expedition?

For your Arctic Norway expedition, we recommend packing warm, layered clothing with thermal underlayers, along with waterproof trousers (mandatory for landings) and waterproof hiking boots. You should also bring a warm hat or headband, a scarf or buff, both inner and outer gloves, and polarised sunglasses. Swimwear, gym clothing, and type C plug adapters are useful too. Additional helpful items include moisturiser, UV lip balm, sunscreen (from March), a small waterproof bag, extra camera batteries, a tripod, binoculars, and a head torch.

I’m allergic to wool – what are the alternatives for base layers?

If you’re allergic to wool, natural fibres like cotton or bamboo are good alternatives. Bamboo has similar properties to wool, while cotton offers comfort. Try to avoid synthetic materials, which can lead to moisture build‑up and feeling cold. Natural fibres will help keep you comfortable and warm.

What clothing and gear does HX provide?

HX provides a range of clothing and gear for your expedition. You will receive a wind and water-resistant expedition jacket to keep, along with a reusable HX Ocean Bottle. You’ll also be able to borrow boots, trekking poles, a head torch, snow grips and all necessary activity equipment throughout your voyage. A highlight of our gear provision, is our Thermal Protection Suits. This is a specialised, high‑insulation suit designed to keep you warm, dry, and comfortable during landings and small‑boat cruising in colder conditions. Many returning guests will find this to be a valuable new addition to enhance safety and comfort in challenging Arctic environments.

Will we receive a jacket onboard?

Yes. All guests travelling to Norway receive our high quality blue expedition jacket. This wind‑ and water‑resistant shell is designed to protect you from the elements, but it is not insulated, so you will still need to bring warm layers to wear underneath for Arctic conditions. The jacket is crafted from recycled materials, produced with a reduced carbon footprint of 7.12 kg CO₂, and made using sustainable practices, including an Ecovadis Platinum sustainability rating. It is available in sizes XS to XXXL.

How does HX know what clothing size I need?

Before departure, you’ll receive a link to complete your Ship Manifest Information Form, which includes a section for your clothing sizes. These sizes are guidelines only—our ships carry a full range of items, and exchanges can be made easily once you’re onboard.

Do we need a hat?

Yes. A well-fitting hat, or one with a chin strap, is recommended due to windy conditions. Some guests also prefer a hat with a peak to help shield from the sun, or a buff.

Can we bring a waterproof case for our phones?

Yes, you can bring a waterproof case to protect your phone during Zodiac rides. We also recommend a neck strap for added safety.

Do I need to bring binoculars, and what type should I choose?

We recommend bringing binoculars so you don’t miss the incredible wildlife and scenery. For best results, choose 8x or 10x magnification with a 32mm or 42mm objective lens.

Will we receive a packing list?

Yes, you will receive a detailed packing list in your travel documents around one month before your trip.

Can we bring walking sticks onboard?

Yes. You are welcome to bring your own walking sticks, and we also provide them for all guests during landings. The Expedition Team will assist with taking them ashore.

Are hairdryers provided in the cabins?

Yes. All cabins are equipped with a hairdryer.

Is laundry service available onboard?

Yes. Suite guests receive one complimentary bag of laundry per day. All other guests may use the laundry service for an additional fee, typically €2 to €6 per item. A price list will be available in your cabin.

Life On Board

What is the dress code onboard?

The dress code is casual and informal throughout the voyage, including evenings and dinners.

Is Wi‑Fi available on the ship?

Yes, complimentary Wi‑Fi is available throughout the ship. However, connectivity may be limited in remote areas, so we recommend downloading apps and media before boarding.

Do I need to bring cash?

We do not accept cash payments onboard, but for some may wish to bring some local currency for local areas. The onboard currency is Euros. While you may wish to bring a small amount of Norwegian Krone (NOK) for use in local shops or cafés, please be aware that many places in Norway no longer accept cash, especially in more remote areas.

Can I bring alcohol onboard?

Guests are asked not to bring their own alcohol for consumption onboard. If you do bring alcohol, it will be held by the crew and returned at the end of the voyage.

How does tipping work?

HX does not automatically add gratuities, and tipping is not expected. If you choose to leave a tip, you may do so at Reception or in the communal tipping box. Tips are shared among the crew, except Officers and the Expedition Team.

Activities & Excursions

What activities are included, and how do I book them?

Norway is unique in that all expedition activities are included but cannot be prebooked. Activities typically include kayaking, snowshoeing, guided hikes, nature landings, Friluftsliv campfires and the Polar Plunge. You will register your interest onboard (excluding nature landings and Friluftsliv campfires) during the Expedition Team’s orientation. As with all expeditions, activities are dependent on weather, snow and safety conditions.

Are there additional shore excursions?

Yes. A mix of included and optional excursions is offered during your voyage, ranging from cultural experiences to unique Arctic activities. Optional excursions may be available to pre‑book or arranged onboard, subject to availability.

Are there any experience or fitness requirements for using Zodiacs?

Our Zodiacs are designed for guests of all abilities. The only requirement is the ability to get in and out of the Zodiac safely and comfortably. The Expedition Team is always available to support and guide you.

Are there any experience or fitness requirements for kayaking?

Our kayaking programme accommodates all experience levels. The main requirement is being able to get in and out of the kayak safely . For safety reasons, guests joining the Sea Explorer Kayak programme must also have an understanding of English, as safety briefings and instructions are delivered in English.

Two types of kayaks will be offered: - Sea Explorer Kayak – a sturdy, classic kayak suited for longer journeys - Discovery Kayak – an inflatable option ideal for beginners and shorter excursions The Expedition Team will guide and assist to ensure a safe and enjoyable experience.

What is the Northern Lights experience like?

Arctic Norway offers excellent opportunities to see the Northern Lights. You’ll receive advice onboard on the best viewing times, photography tips and safe deck locations. Wake‑up calls may be offered during strong aurora activity.

What is “Friluftsliv”?

Friluftsliv is the Norwegian tradition of living simply and joyfully in nature. Expect calm outdoor moments, cosy fireside gatherings and a deeper connection to the Arctic environment.

How often is the Polar Plunge offered?

The Polar Plunge is typically offered once per voyage, depending on weather conditions.

What should we wear for the Polar Plunge?

Most guests choose swimwear, though long sleeved tops can also be worn for additional comfort. You can also wear water shoes/slippers if you would find that more comfortable.

Can we bring items ashore during landings?

Yes, you can bring items you can comfortably carry in your hand or backpack, such as a camera. Food is not allowed unless medically required.

How do payments for optional activities and onboard extras work?

A final invoice will be provided at the end of your expedition and can be settled by card.

What is the itinerary like?

This is a true expedition, with each day shaped by weather, light, ice and wildlife conditions. You may explore regions such as the Lyngen Alps, Senja, Lofoten and Vesterålen. Experiences can include beach bonfires, scenic fjord cruising, visits to remote villages, whale watching opportunities and bespoke experiences. The itinerary remains flexible throughout to ensure the best possible experience.

Health, Medication & Important Items

Should I bring my own medication?

Yes. Please bring enough prescribed medication to last for the entire trip. The onboard medical facility does not supply prescription medication.

Where should I keep important documents and medication while travelling?

We strongly recommend keeping your passport, medication and other essential items in your hand luggage while travelling to the ship.

General Logistics

What is the HX App, and should I download it?

The HX – Spitsbergen app is your digital companion during your expedition. You can use it to view the daily programme, book excursions, and lots more. We recommend downloading the app before boarding, as onboard Wi‑Fi may be limited in remote regions. To log in, you’ll simply need your name and booking number, which you will already have in advance. Pre‑boarding access will become available once you receive the email notification. Please be advised that the app will not be available until one week before your scheduled departure.

What should I know about lost luggage?

If your luggage is delayed, report it to the airline before leaving customs and obtain a Property Irregularity Report (PIR). HX’s 24/7 helpline will help coordinate delivery to the ship.
